Get paid faster: invoicing habits for trade businesses

By the SKEDS Team ยท 8 April 2026 ยท 5 min read

Doing the work is only half the job. Getting paid is the other half, and it is the half that keeps the lights on. Slow invoicing is one of the most common, and most fixable, causes of cash-flow stress in trade businesses.

The hidden cost of slow invoicing

Every day between finishing a job and sending the invoice is a day longer until you are paid. Invoices saved up for "the weekend" get forgotten, queried, or sent so late the customer has forgotten the job. The fix is not working harder; it is invoicing sooner.

Invoice on completion, from the field

The best time to invoice is the moment the job is done, while you are still on site. Converting a finished job straight into an invoice, with the agreed quote and any extra materials already on it, means the invoice goes out the same day instead of the same month.

Make it easy to pay

Put clear payment terms on every invoice, include a way to pay online, and remove every bit of friction you can. The easier you make it, the faster the money arrives.

Sync to your accounting software

Re-keying invoices into your accounting system is slow and error-prone. When jobs flow straight into Xero, MYOB, QuickBooks or your local ledger with the right tax codes, and payment status flows back, you always know what is outstanding without chasing spreadsheets.

Chase politely, and automatically

Most late payments are not refusals; they are oversights. A friendly automated reminder a few days after the due date recovers a surprising amount of money without an awkward phone call.

Use deposits and progress claims for big jobs

For larger work, do not carry the whole cost yourself. A deposit up front and progress claims at agreed stages keep cash coming in across the life of the job. Builders running multi-stage projects especially benefit from claiming as they go.

Key takeaways

  • Make online payment easy
  • Sync invoices and payment status to your accounts
